What you get by working with Hearthline

Six things that distinguish our approach from trying to manage household records without support.

A written index from day one

Every document is logged. You know what exists and where it is.

A neutral hand in shared arrangements

No sides. We work with logistics, not interpretation.

Encrypted and backed up

Digital files are encrypted; a physical duplicate is also maintained.

Price stated in Ringgit upfront

RM 510, RM 2,240 or RM 4,380 — quoted before you commit.

Multi-household access

Up to eight named relatives can access the archive, wherever they are in Malaysia.

Plain English throughout

Every index and summary is written to be read without us in the room.

Each benefit, explained

Experienced administrative team

Our administrators have backgrounds in records management, information systems and household logistics across the Klang Valley. The team has worked alongside Malaysian families since 2019 and understands the particular mix of documents — MyKad, birth certificates, property titles, school records — that typically needs to be organised.

  • Over six years of family records work in Selangor
  • Team trained in information management and PDPA compliance
  • Experience with both single-household and multi-household situations

Archival-resolution scanning and structured digital storage

The archive programme uses archival-resolution scanning so that documents remain legible at high magnification — important for older or faded certificates. Files are placed into an agreed folder structure, stored with encryption at rest and in transit, and backed up to a physical copy held at the household.

  • Archival-resolution scanning (not just phone photographs)
  • Encrypted digital storage with controlled access
  • Duplicate physical backup at the household

A service that works alongside families, not above them

Organisation sessions happen with the family present, not by taking documents away and returning them later. The index produced belongs to the family from the moment it is written. We explain what we are doing at each step and the household can ask us to stop, change direction or hand everything back at any point.

  • Sessions conducted with the household present
  • All outputs belong to the family, not stored by us
  • One follow-up call included with each Records Session

Transparent, fixed pricing in Ringgit

Each service has a stated price and a stated scope. There are no open-ended day rates and no add-ons unless a family requests them. The price you see on the Solutions page is the price agreed in the written scope before work begins — nothing is added afterwards.

  • RM 510 / RM 2,240 / RM 4,380 — stated upfront
  • Written scope agreed before any work begins
  • No hidden charges or variable rates

Practical, measurable outcomes

At the end of each engagement, a family should be able to locate any document in the index within a few minutes, share a calendar link with both households, or hand a relative the archive access details and have them retrieve a file without calling us. We measure our work by whether the family can use what we leave behind independently.

How we compare

What a family typically encounters when managing records without a dedicated service, compared to what Hearthline provides.

Without dedicated support

  • Documents scattered across drawers, phones and email inboxes
  • No written index — each search starts from scratch
  • Shared calendar kept in a messaging thread, easy to miss
  • Reminders depend on one person remembering to send them
  • Relatives in different states have no way to access family records
  • No physical or digital backup of key documents
  • Time spent searching adds up across every appointment and meeting

With Hearthline

  • Every document in one labelled folder structure with a written index
  • Index produced during the session and handed to the family
  • Shared calendar built and maintained by a neutral administrator
  • Reminder notices sent to both households; written log maintained
  • Up to eight named relatives given controlled archive access
  • Encrypted digital copy plus duplicate physical backup
  • Documents retrievable in minutes by any named family member

What makes Hearthline different

Three things that are harder to find elsewhere in this kind of work.

Strict neutrality in shared arrangements

Many coordination services lean toward one household or adopt a tone that implies a preferred arrangement. Hearthline does not. Our written logs record what has been agreed, not what we think should have been. Both households receive the same information at the same time.

A physical backup alongside the digital one

Most digital archive services deliver a cloud folder and nothing else. Hearthline's archive programme includes a printed master index and a physical folder set held by the household — so the records remain usable even without internet access or if a service changes.

Two training sessions built into the archive

The family archive programme includes two sessions specifically for teaching family members how to retrieve files and add new documents. The archive is built to be used independently, not to create a dependency on us for ongoing help.
