Hearthline was set up in Shah Alam in 2019 by a small group of administrators who had spent years working alongside Malaysian families during some of the more complicated periods of household life — periods when documents were scattered, schedules were shared between two homes, and no one had the time to build a proper system from scratch.
What those years made clear was that families rarely needed advice. They needed someone to sit down with them, go through the papers, and put a workable order in place. They needed reminders sent on time and a written record that both households could refer to without disagreement. The work was administrative, not advisory — and that distinction matters to us.
Hearthline exists to do that administrative work carefully, without drama and without crossing into territory that belongs to solicitors, counsellors or financial advisers. Our job is to make sure the documents are labelled, the calendar is maintained and the records are somewhere everyone can find them.

To give Malaysian families a calm, well-organised base of household records and shared logistics — so that when they do sit down with their own professionals, the paperwork is already in order and the process can move forward without unnecessary delay.

The people behind Hearthline
A small team of administrators with backgrounds in records management and household logistics coordination.
Nadia Rahman
Principal Administrator
Nadia oversees sessions and client onboarding. She has spent eleven years working in records management and coordinates the majority of our family organisation sessions in the Klang Valley.
Kamarul Tan
Archive & Digitisation Lead
Kamarul manages the archive programme from scanning through to access setup and training. He holds a certificate in information management and handles all encrypted storage configurations.
Siti Lim
Logistics Coordination Officer
Siti handles the ongoing coordination service — building shared calendars, sending reminder notices and producing monthly summaries for both households in each arrangement.

Practical standards we apply to every engagement.
Written scope before work begins
We agree the scope of every engagement in writing before the first session or scanning day. Both parties have a clear record of what is included and what falls outside our remit.
Strict confidentiality
All documents and family information handled by Hearthline remain confidential. We do not share details with third parties without explicit instruction and do not retain document copies beyond the agreed archive structure.
Encrypted digital storage
Digital archives use encryption at rest and in transit. A duplicate physical backup is maintained alongside the digital copy. Access credentials are issued only to named individuals approved by the family.
Strict role boundaries
We do not give legal, financial or welfare opinions. When a family's situation calls for qualified professional input, we say so clearly and direct them toward appropriate channels rather than filling that gap ourselves.
Plain-language documentation
Every index, log and summary we produce is written in plain English so that any family member can read and use it without needing to consult us first. Clarity is a core part of the service.
Personal Data Protection Act compliance
All handling of personal data follows Malaysia's Personal Data Protection Act 2010. Families are informed of what data is held, why, and for how long — and may request deletion at any time.
Records work done with care
Malaysian families manage a remarkable amount of paperwork across a typical household life — identity documents, property records, school correspondence, medical summaries, insurance files and the documents that gather around major life events. When those papers are scattered, or when two households are trying to coordinate without a shared reference point, the practical burden can become significant.
Hearthline's approach is to work alongside families rather than at a distance. Sessions are scheduled at a time that suits the household, and we sit with the family to go through papers together rather than taking documents away. The resulting index belongs to the family from the start and can be used independently of us from the day the session is complete.
For extended families keeping records across Selangor and the wider Klang Valley, the archive programme brings all of that together in one structure that multiple households can access — reducing the friction that builds when someone in Subang Jaya needs a document that happens to be in a folder in Klang. Each archive is built to a standard that makes future retrieval straightforward, whether a family member is looking for a birth certificate or a copy of a school report from fifteen years ago.
