Our approach

Every Hearthline engagement begins with a written scope. Before any session, scan or coordination period starts, we send a document that describes exactly what is included — which documents will be handled, how many households are involved, what outputs will be produced, and how long the work will take. The family signs off, and that scope does not change without a new written agreement.

Within each service, we work alongside the family rather than taking materials away. For organisation sessions, we sit at the household. For coordination, both households receive the same communications. For archive work, family members attend the two training sessions so the resulting system is genuinely theirs to use independently.

Service 1 — RM 510

Family Records Organisation Session

A two-hour session that brings a household's family documents into one clear order: identity papers, certificates, school and residence records, correspondence and any copies held by different relatives. The administrator sorts alongside the family, labels folders, and produces a written index showing what exists and where it is kept. Frequently used by families preparing to speak with their own qualified professional and wanting the paperwork settled first. Includes one follow-up call within a month.

How the session works

Scope call — We discuss what documents are in the household and set a suitable date for the session.

On-site session — Administrator arrives at the household and works through documents with the family over two hours.

Index handover — Written index is produced and left with the family at the end of the session.

Follow-up call — Within 30 days, we call to answer questions about the index or add items that were missed.

Household Schedule & Logistics Coordination

A three-month arrangement supporting families that need a neutral hand keeping shared arrangements organised. Covers building a shared calendar for school terms, appointments and handovers, sending reminder notices to both households, maintaining a written log of scheduled events, and preparing a monthly summary. Logistics only: the service records and organises what the family has already agreed and does not propose, interpret or decide any arrangement.

How the coordination works

Setup call — We gather existing arrangements from both households and build the initial shared calendar.

Ongoing reminders — We send notice to both households ahead of every scheduled event.

Monthly summary — At the end of each month, both households receive a summary of what was scheduled and logged.

Updates as needed — Changes to arrangements are added to the calendar and log when notified by either household.

Family Archive & Records Programme

A complete archive project for extended families keeping records across several homes and states. Includes collection and scanning at archival resolution, an agreed folder structure, controlled access for up to eight named relatives, a printed master index, a physical folder set held by the household, and two training sessions on retrieving and adding files. Runs six to ten weeks depending on volume. Delivered with encrypted storage, a duplicate physical backup, and a written archive description.
