We booked the Records Organisation Session about three weeks before meeting our solicitor. I had been putting off sorting through everything for months. Nadia arrived on time, worked alongside us without any fuss, and by the end of the two hours every document had a name and a place. The index she left made the meeting with our lawyer much shorter than it would have been otherwise.

The coordination service has made a real practical difference. Before we started, messages about school schedules and handovers would get buried in WhatsApp threads. Now both households get the same reminder two days before each event, and there is a written log if anything is ever questioned. It took a couple of weeks to get the initial calendar set up properly, but once it was running it has been straightforward.

My family completed the full archive programme across three households — Shah Alam, Klang and my uncle's place in Seremban. Kamarul was patient and methodical. The scanning quality is noticeably better than what we had been doing ourselves on phones. We now have a folder structure everyone understands, eight people can access it, and my mother has the printed index on her shelf. The two training sessions were genuinely useful.

What I appreciated most was that the administrator was completely clear about what she was not there to do. She sorted documents and made an index — she did not give opinions or suggest what we should decide. That distinction matters a lot when you are going through a complicated period as a family. The follow-up call a few weeks later was also appreciated — we had a few more items to add.

The coordination service has been running for about two months now. The reminders have reduced the back-and-forth between our households considerably. The monthly summaries are clear and factual — nothing interpreted, just what was scheduled and whether it happened. My only comment is that we needed a couple of emails to get the initial handover dates loaded correctly, but that was sorted quickly.

We used the records session as a first step before starting the archive programme. The session itself took almost exactly two hours and my father was able to participate, which mattered to him. The price was clearly stated beforehand and matched what we were charged. There were no surprises. I would recommend starting with the session if you are unsure whether to go straight to the full archive.

Situations we have worked through with families

Shah Alam — Records Organisation Session
A household preparing for a meeting with a solicitor
Situation
A family in Shah Alam had an appointment with their solicitor set for three weeks ahead. Documents were in four different locations — a filing cabinet, two drawers, a folder on someone's phone and a set held by an elderly relative elsewhere in the house. They had no index and were not sure what they had or what might be missing.
What Hearthline did
One records session brought all documents into one labelled folder structure over two hours. A written index was produced listing every item by category and location. The follow-up call a fortnight later allowed the family to add three documents they had found after the session.
Outcome
The solicitor's appointment was shorter than anticipated because the family arrived with everything indexed and accessible. The index has continued in use since the appointment — the family updates it themselves when new documents arrive.
"We had no idea how much time we had been spending looking for things until everything was in one place."
Petaling Jaya — Household Schedule Coordination
Two households coordinating children's schedules without a shared reference point
Situation
Two households managing a shared arrangement for children across Petaling Jaya and Shah Alam. Both parents reported that key dates were being missed or disputed. Communication about scheduling had become strained, with each party relying on memory or informal messages.
What Hearthline did
A shared calendar was built from the arrangements both households confirmed at the start. Reminder notices were sent to both parties before each event. A written log was maintained throughout the three months, and monthly summaries were sent to both households simultaneously.
Outcome
Over three months, there were no missed events recorded in the log. Both households received identical information at the same time, which reduced the points of dispute. The family has continued the arrangement for a second three-month period.
"Having a neutral person send the same message to both of us removed a lot of the friction."
Klang Valley — Family Archive Programme
An extended family with records across three households and two states
Situation
An extended family with six adult relatives across Klang, Shah Alam and Seremban. Each household held different records for the same family — some original documents, some copies, many with no backup. When the eldest family member needed a document retrieved, it required phone calls to three different homes.
What Hearthline did
The archive programme ran over eight weeks. Scanning was done at each of the three household locations. An agreed folder structure was created that all six named relatives could access. A printed master index was left at the family's primary household; encrypted storage and a physical backup were both put in place.
Outcome
Any of the six relatives can now find and retrieve documents without contacting the other households. The two training sessions meant three family members who had not used the system before could navigate it independently by the end of the programme. The printed index is also in regular use.
"My mother can now find anything herself. That was the part I had not expected to work so well."
